Can I change property manager while the renter is still in the property?

A change of manager can happen during a tenancy, but first check the existing management authority, its termination provisions and any amounts payable. Agree the end and start dates in writing so both agencies know who acts at each point. The renter agreement is a separate document; a management transfer should not be treated as automatically ending the tenancy or changing its terms.

Which documents should a property manager handover include?

Prepare the current agreement and variations, rent ledger, bond details, condition report, inspection records, safety records, keys register and outstanding maintenance history. Add approved works, unpaid invoices and any live notices or proceedings. Mark missing items explicitly. The incoming manager should acknowledge what was received and identify gaps that affect an immediate obligation instead of relying on a generic “file transferred” email.

Does changing property manager mean refunding and collecting the bond again?

A manager change is normally handled as a rental provider transfer in the RTBA record, rather than treating the continuing tenancy as a new bond collection. Check which party starts the transfer and retain the completion receipt. CAV requires the transfer transaction to be started within five days of the change. A new agency logo on a statement is not evidence that the RTBA record has been updated.

What should renters receive when management changes?

Give clear written contact details, the effective date, the repair reporting process and verified payment instructions. Explain what stays governed by the existing agreement and who will answer questions about prior payments. Coordinate outgoing and incoming communications so renters do not receive conflicting instructions. Before paying a changed bank account, renters and owners should confirm the details using an independently sourced, trusted phone number.

How should the outgoing and incoming managers reconcile rent?

Choose a shared cut-off date and compare the last outgoing ledger with the incoming opening ledger. Identify payments in transit, unallocated money, credits and amounts due. Match owner funds separately from renter balances. Keep both original reports and a written explanation of every transfer entry, so a later arrears query can be traced across the agency change without relying on memory.

Who handles an urgent repair during the management transfer?

An agency change does not pause the rental provider’s repair obligations. Agree an active contact for the transfer period, pass on open work orders and confirm that tradespeople and renters know where to report a worsening issue. The repair log should show whether a job is only reported, booked, made safe or fully completed. Treat urgent safety issues under the applicable repair process without waiting for the archive transfer to finish.

What if the previous manager cannot supply the original condition report?

Record that it is missing and request any signed copies, dated photos, renter responses and subsequent inspection records. Preserve what each document actually establishes; do not create a backdated entry report or describe a current inspection as proof of the original condition. A current report can establish the present position. Get advice where the missing historical record affects a bond claim or an existing dispute.

What changes when I take the property back into self-management?

The practical handover is similar: collect the records, arrange the RTBA provider update, notify renters and reconcile the final agency statement. Set up your own rent record, repair contact, deadline calendar and secure document storage before the cut-off date. Identify who monitors requests while you are unavailable. Ending the agency appointment transfers day-to-day administration to you; it does not remove rental provider obligations.
