Rental property tax document checklist

A rental property tax document checklist helps your accountant work from complete evidence. It does not decide a deduction or ownership structure. Organise income, expenditure, ownership and loan history separately, and flag private use or missing records before the return is prepared.

What should I give my accountant besides the annual agent statement?

Add owner-paid invoices, loan interest statements, relevant settlement records, capital-work or asset information, and a timeline of rental and private use. Include other rental-related receipts and explain unresolved differences. The agent statement only covers transactions administered by that agent. Use a contents list to show what is included, what is missing and which items need the accountant’s judgement.

Why keep settlement adjustments after the property has been purchased?

Settlement records help distinguish the purchase price and acquisition costs from adjustments for items such as rates or rent. Preserve the contract, adjustment statement, settlement report and supporting invoices together. Ask the accountant how each component is treated rather than classifying the entire settlement payment as one expense. An amount can appear in several documents without representing several separate costs.

Does an “investment loan” label make all interest deductible?

No. The use of borrowed money and the circumstances of the income-producing activity matter. Keep evidence linking drawdowns to their purpose, especially after refinancing or private withdrawals. A lender’s product label or the property used as security is not enough to establish every interest deduction. Ask the accountant to review mixed-purpose borrowing and maintain a traceable history of the relevant movements.

Why should I keep separate records for redraws and offset accounts?

A redraw is further borrowing under a loan facility; an offset is a separate account arrangement. Moving money through them can have different consequences, so do not infer tax treatment from similar-looking bank transfers. Keep the loan terms, statements and destination of funds. Give the accountant the history before and after a refinance or private withdrawal rather than only the final annual interest total.

What extra records help classify renovation and initial repair costs?

Keep acquisition-condition evidence, the work scope, itemised invoices, completion dates and records of when the property was rented or available to rent. Explain whether an item was repaired, replaced or improved. Separate different components of a larger project where the supplier can do so accurately. The accountant can then consider repair, capital works and asset treatment without treating the whole project as immediately deductible.

Can co-owners split the rental result according to who paid the bills?

Do not choose an income or expense split simply by looking at the bank account used. ATO guidance for co-owners who are not carrying on a rental business generally follows their legal ownership interests. Give the accountant the title, ownership documents and any relevant trust or entity records. Ask them to assess exceptions and the correct taxpayer instead of allocating the result to the person who benefits most.

Can I discard old purchase and loan documents after lodging the return?

Do not use lodgment as a blanket deletion date. Different records support annual deductions, continuing loan-purpose evidence or a future capital-gains calculation, and disputes may extend retention needs. Ask your accountant to set a retention schedule by record type. Keep readable originals or reliable copies, backed up securely, and retain an index so an old acquisition cost or refinance can still be traced later.

  • Attach acquisition, settlement, loan and property-use records.
  • Separate possible capital items, private use and uncertain allocations.
  • Ask the accountant to confirm treatment and the retention period for each record class.
