Rental data quality: unknown is different from zero

An empty rent, room count or maintenance field can mean missing evidence, not a real zero. Use clear data states before a spreadsheet, dashboard or AI summary reaches an owner.

The answer and its limits

Rental data quality starts by separating zero, unknown, not applicable and not yet checked. Zero is an observed value within a defined scope. Unknown means evidence is missing or inconclusive; not applicable needs a reason; not checked describes the workflow. Replacing all blanks with zero can make a vacant room look unavailable, an unverified receipt look unpaid or an unknown cost look free. Keep source, event date, collection date and identity alongside the value. OAIC’s APP guidelines address quality and security of personal information for organisations within their scope [1]. The same evidence discipline is useful for operational records without claiming an audit or legal determination. Review data states before sending owner reports or generating an AI summary.

Define each field before calculating

Write what rent means: advertised, agreed, charged, allocated or received. Define room count as physical, available or occupied. A column name without a basis invites people to combine incompatible values. The definition should travel with an export so the next reader does not need to guess how the number was produced.

Use an explicit missingness state

Retain a value and a status instead of encoding every state into one cell. A cost can be pending quote, estimated, invoiced or paid. Only an established zero should be zero. This makes the next evidence action visible and prevents summaries from silently treating unresolved costs as absent.

Resolve duplicates and identity

Similar addresses, repeated campaigns and spelling variants can duplicate a property or transaction. Keep original source identifiers and a recorded match reason. A transaction and a property are different entities: one property can have many dated events. Do not merge by address text alone where a unit or lot distinction matters.

Validate the period and denominator

A rent total needs a period and allocation basis. An occupancy figure needs the relevant available accommodation, not an unrelated total of research candidates. Keep excluded and unresolved records visible. A ratio can be mathematically correct while answering the wrong operational question if its numerator and denominator use different groups.

Check the summary against the evidence

Before publishing an owner report, inspect exceptions and a sample of source records appropriate to the task. An AI summary should identify the records and limits it used, not fill unknowns with plausible prose. Rent distinctions, transfer evidence and the evidence guide provide concrete applications.

Common questions

Should blank cells become zero?

Only where evidence establishes a real zero under the field definition. Otherwise use an explicit unknown, not applicable or pending state. A convenient spreadsheet default can misrepresent an operating fact.

Is unknown the same as no evidence exists?

No. It means the available review has not established the answer. Evidence may be elsewhere, not yet collected or inconclusive. Record the next action rather than asserting absence.

Can address matching remove every duplicate?

No. Units, lots, spelling and repeated events complicate identity. Use reliable identifiers and review the match reason. Preserve original source references so a mistaken join can be corrected.

Why separate event date and collection date?

They answer different questions. A record collected today may describe an earlier transaction, advertisement or inspection. Using today as the event date creates false freshness and can distort a timeline.

Can AI safely fill missing rent information?

It should not invent an operating value. It can explain the missing field and propose a verification action. Any inferred scenario must be clearly labelled and remain separate from the verified ledger.

Does clean data prove a compliant operation?

No. It makes the evidence easier to review. Legal, building and practitioner checks retain their own scope. A well-structured register is not a certificate or audit opinion.
